UMSU Events Coordinator

Reports to: Executive Director
Salary: $35,000 - $42,000 per year, commensurate with experience

Position overview:
The UMSU Events Coordinator is responsible for the planning and execution of all UMSU special events including but not limited to: Orientation Week, Malpractice Halloween Social, EBC Charity Ball, Celebration Week, St. Patrick’s Day Social and Snowball Patio Party. The Events Coordinator is also responsible for providing programming support for campaigns and other projects within UMSU.
This position is full time, based on a 10 month contract with the possibility of renewal.
Preferable start date is May 3, 2010, but is negotiable.

Responsibilities:
In consultation with the Executive and under the direction of the Executive Director, the Events Coordinator shall:
1) Plan and execute all aspects of UMSU events, including scouting and booking entertainment and venues, production requirements and staffing;
2) Ensure that all UMSU events adhere to relevant policies and procedures of the University of Manitoba Students’ Union, University of Manitoba, the City of Winnipeg and the Province of Manitoba, including venue permission, liquor licenses and all permits;
3) In conjunction with the UMSU Executive, UMSU Graphics, UMSU Vision and UMSU Campaigns & Communications Coordinator, ensure timely and extensive promotion of all UMSU events including, posters, banners, website promotion, word of mouth promotion etc;
4) Coordinate recruitment, retention and appreciation of UMSU event volunteers;
5) Solicit sponsorship for UMSU events where appropriate and ensure the fulfillment of all sponsor obligations prior to and during all UMSU events;
6) Oversee all financial aspects of UMSU events and ensure that all events are held within the budget prepared by the Events Coordinator and approved by the Executive Director;
7) Hire, train and supervise support staff and volunteers required for UMSU events;
8) Prepare complete reports, including financial statements and expense reports, for all events;
9) Make recommendations on improvements to current events and possibilities for the expansion of UMSU programming;
10) Perform other duties as may be required.

Qualifications:
1) Degree, diploma or certificate in hospitality or event management or equivalent combination of education and experience
2) At least 3 years of event management experience, preferably in a not-for-profit environment
3) Demonstrated financial management and reporting experience relating to event planning
4) Experience in volunteer recruitment, volunteer retention and sponsorship solicitation
5) Creativity, organisational skills, ability to multi-task and work as part of a team
6) An understanding of and commitment to the priorities and objectives of UMSU
7) Experience at the University of Manitoba and with student organizations/PSE institutions an asset
